Common Telecoms Misconceptions Explained: Why Changing Phone Systems is Less Painful Than You Might Think

Man worried about switching telecoms services

Switching to a new telecoms system or provider can seem like a daunting prospect.

It’s true – there are a few steps involved. You will need to liaise with your suppliers, communicate the changes with your team, and be able to provide necessary information to help the process run smoothly.

But, it doesn’t have to be a hassle.

In this article, we hope to alleviate any fears you may have about cost, disruption or suitability by addressing some common telecoms misconceptions.

Misconception: A new system will be expensive to set up

Reality: Mostly, cloud based phone systems come with little to no setup costs

Cloud-based phone systems are typically hosted and managed by the provider, allowing you to start using it immediately without the need for costly hardware installations. Where there are installation costs for a more complex project, these will be clearly explained. However, in most cases it’s just monthly costs.

Misconception: Installing a new system will be disruptive

Reality: A properly managed install should be seamless

We always recommend keeping your existing services until the new system is in place to avoid loss of service. This provides a buffer to test and monitor the service while it’s bedding in and gives you chance to get used to the new setup. The overlap also ensures you avoid service interruptions, saving time and money. What’s more, we’ll work closely with your IT team where required to ensure the system is properly installed and configured.

Misconception: You can’t have an office phone system without desk phones

Reality: Desk phones are an option, but not the only one

Many businesses are moving away from physical handsets and adopting softphones or mobile apps, which offer the same functionality as traditional desk phones. This allows employees to communicate seamlessly from anywhere, reducing hardware costs. That’s not to say that desk phones don’t have their place; rather, modern systems offer more flexibility. Many of our clients have come to us with a suite of legacy handsets and have decided to replace just a few of them, in favour of moving predominantly to mobile and desktop apps. That being said, handsets continue to be a key part of our service and there are great, high-quality options available from Fanvil and Yealink, in particular.

Misconception: VoIP services are too complicated for small businesses

Reality: VoIP services are highly suitable for small businesses

Many modern telecoms solutions, like cloud-based phone systems and VoIP, are cost-effective and scalable, making them affordable for businesses of all sizes. Some people worry that the complex features of a VoIP system are overkill for a small business but the truth is, the system can be as simple or complex as you need it to be. Whether you just need a phone on a desk or an elaborate call routing setup with bespoke reporting, it can all be achieved using VoIP. Besides, with the Public Switched Telephone Network (PSTN) being phased out soon, all businesses will need to move to VoIP, regardless of size.

At ontel we will work hard to make the transition to a new system as smooth and stress-free as possible. If there are any concerns we’ve missed out that you’d like to discuss, speak to us! We’ll always be transparent and offer useful recommendations to help you get more from your telecoms.
